What the job involves

  • This role is at the heart of our workplace experience and is based 5-days per week in our vibrant London Bridge HQ. The working hours are 09:00-17:30 - Monday to Friday
  • You’ll be positive, proactive, and approachable. Our workplace experience team play a big part in making the office a place where our staff can thrive
  • Facilities Management: Being the first point of contact for any issues/incidents that may arise, using initiative to problem solve. This includes managing cleaners, contractors, and suppliers
  • Raise permits with building management for any contractors and for all office works e.g., Painting, installation of new equipment etc
  • Complete daily checks of office space and meeting rooms to ensure they are tidy and presentable for Zopians and visitors. Ordering new furniture/office equipment where needed
  • Being first point of contact for our small office in Stoke. This includes liaising with the on-site contact there, calling in facilities issues and maintaining relationships with the building management
  • Health and Safety: Keep up to date with all H&S laws and ensure we are compliant
  • Book our annual Fire Risk assessment and general risk assessment and ensure we always have the right number of certified First Aiders and Fire Wardens
  • Record any office H&S incidents and action plans where appropriate. Take action on desk assessment issues
  • General Duties: Complete the morning set up – clean coffee machines, fill up the snack station, breakfast items, and drinks fridges
  • Managing reception including, guest/contractor management, post, staff pass system, managing inventory, and problem-solving as issues arise
  • Keep staff updated with any relevant information, linking with internal communications
  • Weekly ordering of food/drink and office supplies, keeping within budget
  • Events: Organise our annual Summer and Christmas parties, as well as other events - ensuring there are no problems, and we keep within budget
