Who you are

  • We are looking for someone who is well versed in working with various stakeholders at all levels, due to being the primary point of contact between the CEO and internal/external stakeholders
  • A keen individual with an interest in the executive-level responsibilities of a start-up CEO, and someone who wants to be in a role that will lead to greater ownership of high-value projects and deeper cross-functional and board-level exposure to the decision making at the heart of a fast-growing software start-up
  • This role requires a dynamic, trustworthy and detail-oriented individual
  • Proven experience as an Executive Assistant or similar role, preferably supporting C-level executives and best practice
  • Experience in event planning and execution including complex schedule management
  • Proven understanding that handling sensitive information must be with the utmost discretion and maintaining a high level of confidentiality
  • Excellent organisational and multitasking skills, with the ability to prioritise tasks effectively
  • Strong numerical written and verbal communication skills
  • Excellent problem-solving and critical-thinking abilities
  • Ability to work independently and collaboratively in a fast-paced environment
  • Intellectual curiosity regarding business operations, start-ups and people
  • Open to taking feedback and adapting your approach at short notice
  • Eagerness to work with multiple people and be a self-starter
  • Tech savvy and adaptable to new technologies and systems with a good understanding of good data hygiene; and familiarity with CRM systems

What the job involves

  • The Founder Associate is essential in assisting Patchwork’s Co-founder CEO across all their executive functions
  • You will be responsible for providing comprehensive and proactive support whilst ensuring the CEO’s effective productivity and efficiency
  • This will be achieved by managing a wide range of tasks from executive support to board administration and internal communications
  • This role offers an amazing opportunity to get to know our CEO, and to develop a strong working relationship that will be fulfilling for you, and enabling for our CEO
  • CEO Action Tracking and Project Management
  • Overseeing action items resulting from the CEO’s decisions and discussions with clients, investors, senior leadership and others
  • Supporting the CEO in various internal and external projects, research, and presentations, as directed, and utilising project management skills to track and follow up on key initiatives, ensuring timely completion
  • Preparation of presentation decks, briefs and other materials to ensure the CEO is well-prepared for meetings
  • Tackling various ad-hoc assignments delegated by the CEO demonstrating flexibility, resourcefulness and outstanding problem solving capabilities
  • Managing and maintaining the CEO’s access to information, ensuring efficient organisation of documents and information
  • Board Administration
  • Coordinating and managing board-related events, including scheduling, preparation, and accurate documentation of the Board minutes
  • Maintaining Board action logs, risk registers, and ensure all monthly Board reporting meets the required internal quality standards
  • Executive Support
  • Efficiently managing the CEO’s schedule, including appointments, meetings, and travel arrangements; including anticipating and resolving scheduling conflicts, proactively ensuring optimal use of the CEO’s time
  • Organising and coordinating internal and external meetings, ensuring all necessary resources and materials are prepared; and preparing meeting agendas, taking minutes, and following up on action items as needed
  • Arranging, sometimes, complex domestic and international travel itineraries including flights, accommodation, and transportation; and providing detailed travel packs with relevant documents and information, if applicable
  • Acting as the primary point of contact between the CEO and internal/external stakeholders, as directed
  • Drafting and editing correspondence, emails, and other communications on behalf of the CEO, as directed and requested
  • Supporting any expense reporting and reimbursement processes, if applicable
  • Collaborating with the Marketing Team for internal and external content relating to the CEO and at the CEO’s request, including supporting and inputting in the Patchwork Newsletter
  • Internal CEO Communications and Activities
  • Spearheading internal communications on behalf of the CEO, ensuring clarity, consistency, and alignment with organisational objectives and values
  • Drafting and disseminating executive-level announcements, updates, and directives to the company
  • Leading the planning and execution of weekly company All Hands and monthly Town Hall meetings, including meticulous preparation, identification of speakers and the availability of relevant content
  • Managing the planning and logistics for smooth and engaging events such as twice yearly all-team events and the Patchwork annual charity cycle ride

Our take

Patchwork offers doctors a mobile app through which they can find and book shifts instantly, and hospitals a bespoke staffing platform to control their own hiring processes rather than using expensive locum agencies.

The financial woes of the NHS are rarely out of the news, while its staffing crisis continues to escalate amid growing demand for healthcare. The founders of Patchwork have an intimate knowledge of the problems faced by the NHS in these areas. The app itself was developed through a public-private partnership with Chelsea & Westminster NHS Trust, which became the pilot site.

The company is seeking to integrate its service into standard staffing practices and in 2024, acquired L2P, a job planning software enterprise. This partnership will result in a suite of tools to streamline workforce processes and address the workforce needs of more than 100,000 clinicians across both the NHS and private hospitals. Patchwork then, is at the forefront of the movement to fix the NHS staffing crisis.
