  • 4+ years of executive assistant experience
  • 4+ years of experience handling administrative details independently, while exercising good judgment in keeping team members adequately informed
  • Experience leading process improvements
  • Experience in a fast-paced, high-tech company
  • Experience designing processes to maximize efficiency
  • Experience managing multiple calendars

What the job involves

  • We’re on the hunt for an Executive Assistant who will support not one, but two dynamic executives at DISCO
  • This isn’t your typical EA role—think of yourself as a true business partner who’s essential to our leadership team’s success
  • Your impact will be felt across the organization as you manage complex and constantly evolving calendars, streamline communications, and ensure that both executives are always prepared to tackle the day’s challenges
  • The successful candidate will possess the ability to complete complex tasks and projects quickly with minimal guidance, react with appropriate urgency to situations that require a quick turnaround, and take effective action in the face of ambiguity, all while showing grace under pressure
  • Be the Right Hand: You’ll provide top-notch support to two busy executives, ensuring their day-to-day runs without a hitch by anticipating needs and proactively managing tasks
  • Calendar Wizardry: Develop and maintain day-to-day schedules, prioritizing activities with good judgment and business understanding. You’ll handle constant scheduling changes, resolve conflicts, and keep everyone on track
  • Travel & Expense Management: Manage domestic and international travel itineraries, ensuring seamless logistics, and handle expense reports with precision
  • Budget & Vendor Management: You’ll help manage budgets and oversee vendor relationships, ensuring we’re getting the best value and service
  • Track & Drive Deliverables: Track key deliverables, follow up on outstanding items, and ensure timely completion of tasks
  • Administrative Support: Manage all administrative support functions, including meeting preparation, video and conference call coordination, supply ordering, and team event coordination
  • Team Care: You love taking care of a team, from organizing fun events to making sure everyone has what they need to succeed
  • Annual Planning: Plan and maintain an annual calendar of events and schedules, ensuring smooth execution throughout the year
  • Organization Charts: Maintain up-to-date organization charts to reflect the current team structure
  • Communication Hub: You’ll be the go-to person for internal and external communications, always maintaining a professional and approachable demeanor
