Who you are

  • 4+ years of experience as executive assistant, office manager
  • Bachelor’s degree in business administration or a related field preferred
  • Previous facilities or Office Management, Executive Assistant & onboarding experience, and additional People Operations experience is a plus
  • Strong ability to prioritize, while maintaining flexibility and agility in a fast-paced environment with changing demands
  • Organized, detail-oriented, and proactive with a “no job too small” mentality
  • Culture creator, who can help connect the team when in and out of the office
  • Self-starter with a “can-do” attitude, who can execute with minimal training
  • Strong interpersonal skills, with the ability to work with various people and teams
  • Excellent time management skills with the ability to multi-task, prioritize work, and manage projects
  • Experience (or fast to learn) with G Suite products, Asana & Docusign

What the job involves

  • We are looking for a highly organized individual, who wants to "roll up their sleeves", and play multiple roles to support Fiddler’s Leadership Team and People Ops Team as we navigate our hyper-growth
  • This role is expected to work in the Palo Alto office 5 days a week and will report to the Senior HRBP
  • Core executive assistant to the Chief Executive Officer and Fiddler leadership team
  • Managing internal calendars, supporting ad-hoc projects
  • Assist in coordinating company-wide & leadership meetings
  • As needed, coordinate a high volume of meetings with candidates, hiring teams, and the leadership team
  • Oversee the day-to-day operations of our Palo Alto office, assist in developing the future office strategy, as well as implementing office policies to maintain an efficient workspace
  • Manage relationships, contracts, etc. with local vendors, contractors, property managers, and local authorities
  • Lead, organize & communicate company-wide events, happy hours, offsites, & team-building activities, and coordinate travel & expenses for remote employees
  • Manage company swag, employee gifts, employee birthdays & anniversaries, etc
  • Check & scan mail, manage snack/drink deliveries & refills
  • Manage daily lunch ordering (lunch is provided daily for all in-office employees)Restock printer ink, paper, markers, etc
  • Greet and assist candidates who come into the office for interviews with a warm and positive attitude
  • Assist with pre-boarding employee logistics (mailing laptops & swag to new hires)
  • Assist with onboarding new hire software setup & access management (Google, Slack, etc.)
  • Assist with offboarding employees (deactivating software)
  • Manage additional HR operations functions

Our take

AI and machine learning are having a growing influence on how organizations make decisions. The problem with AI technology is that it's a black box. Companies are unable to know the inner workings of how they interpret data and arrive at their outcomes. It's not like traditional software, where a developer can check its code and figure it out.

Fiddler AI believes there's a need for a new type of explainable AI platform. It provides insights to customers so they see and understand how a particular system is making predictions. Plus, how those models can then be changed if bias is suspected. This increases trust and transparency in the technology.

Building trust in a market that is forecasted to grow over 30% per annum and reach a valuation of nearly $300 billion by 2026 is a smart move. It's no surprise that Fiddler AI already works with several of the largest banking institutions in the U.S., as well as online brands like Etsy.

Although, the complexities in AI will never go away. Maintaining high performance will always be challenging. Fiddler AI announced an investment from Alteryx in April 2023, vital financing for the need to fend off competitors such as Reflektion, Conviva, Rais, and Convr.
