  • Knowledge / Experience / Qualifications:
  • 5+ years of relevant AP management experience within Finance
  • Experience working with multicurrency
  • SAP Business One and Concur systems experience
  • Intermediate working knowledge of Excel, Outlook, and other relevant Microsoft Office applications
  • Able to meet tight timeframes and be highly organized
  • Previous experience working for an international business is preferred
  • Experience in managing and training team members

What the job involves

  • The key areas of responsibility include:
  • Manage and oversee the preparation of bi-weekly multicurrency payment runs ensuring correct purchase order and invoice approvals in the expense management system, completing 1st review of payment details to ensure appropriate and accurate support in line with the company expense policy
  • Prepare and review AP aged creditors report monthly to ensure payments are allocated and direct debits have corresponding invoices vouched against them
  • Prepare accruals for corporate company credit cards at month-end and act as a corporate card administrator for the UK entity
  • Monitor AP inbox to ensure internal and external queries are resolved in a timely manner
  • Working with AP Assistant to ensure supplier reconciliation are completed monthly
  • Collaborating with Publishing, process bi-annual composer royalty payments timely
  • Responsible for managing relationships with the expense software service provider used for processing purchase orders, vendor invoices, and employee expense claims
  • Act as a super user for the expense software, deliver user training and support
  • Assist parent company with various ad-hoc queries and reporting requests
  • Liaise with external auditors and provide necessary supporting documents for audit
  • Prepare supporting information for annual PSA filings and process tax payments accurately and on time supporting the senior finance team
  • Direct oversight and management responsibility over AP Assistant
  • Responsible for the second approval of vendor invoices in the expense software and confirming correct expense coding
  • Working with local finance, support implementation of the expense management system in territories where the software is not fully utilized
  • Responsible for monitoring expense software API to SAP integration to ensure it is working as expected
  • Responsible for preparing and maintaining current AP policies and procedures including alignment with parent company where necessary
  • Regularly review and update the expense policy and ensure company compliance with established policy to support and maintain a culture of financial discipline to drive savings
  • Maintain current approval matrix for vendor invoices and employee expenses and review periodically to ensure it stays current and in line with internal control policies
  • Support and maintain a culture of financial discipline to drive savings
  • Prepare bank reconciliations for the selected UK entities for multi-currency bank accounts at month-end
  • Responsible for being a bank administrator for the UK entity bank accounts
