Role

Who you are

  • Minimum of 3 years of experience in Financial Services, with a focus on policy operations and administration
  • Ability to work independently and as part of a team
  • Experience in insurance sector of Financial Services
  • Strong knowledge of bordereau reporting processes and regulatory requirements
  • A proactive and collaborative approach to problem-solving
  • Experience in managing policy cancellations and handling failed payments
  • Excellent attention to detail and organisational skills
  • Ability to prioritise tasks effectively and meet deadlines in a fast-paced environment
  • Strong communication skills, both written and verbal, with the ability to interact professionally with internal and external stakeholders
  • Proficiency in Google Workspace
  • Experience and understanding of Hubspot as a user and experience with improving processes/workflows within the Hubspot environment

Desirable

  • Familiarity with using and insurance management software
  • Confidence to bring ideas and suggestions on how efficiency of operational processes can be improved or made more suite to scale
  • Office management experience e.g. preparing for client/partner visits, organising sundries and supplies, maintaining office stock levels, organising maintenance works as needed, trouble shooting IT issues, project managing an IT upgrades, improvements or fixes

What the job involves

  • Manage insurance-related administrative tasks including reporting, data cleansing, and compliance
  • Efficiently manage bordereau reporting processes, ensuring accuracy and compliance with regulatory requirements
  • Handle policy cancellations and process refunds in accordance with company policies and procedures
  • Proactively manage failed payments, liaising with relevant stakeholders to resolve payment issues promptly
  • Prepare and maintain accurate reports and documentation
  • Ensure data integrity and accuracy through regular data cleansing activities
  • Assist in the development and implementation of compliance policies and procedures
  • Stay updated on industry regulations and best practices related to policy administration, implementing changes as necessary
  • Serve as the gatekeeper for inbound phone calls, addressing inquiries from customers, stakeholders, and suppliers
  • Collaborate with internal teams, including underwriting and claims, to address policy-related inquiries and resolve customer issues
  • Provide exceptional customer service and support, ensuring customer satisfaction
  • Resolve customer issues and escalate complex cases as necessary
  • Contribute to process improvement initiatives aimed at enhancing operational efficiency and customer satisfaction
  • Oversee day-to-day office operations to ensure efficiency and continuity
  • Coordinate office maintenance, supplies, and equipment
  • Assist in organising company events and meetings
  • Maintain a clean, organised, and professional office environment
  • Support the wider team in various operational tasks and projects
  • Collaborate with different departments to streamline processes and improve efficiency
  • Monitor and report on operational performance and suggest improvements
