Who you are

  • Experience working in a fast-based environment, preferably office management, hospitality or admin experience
  • Executive Assistant experience is a plus
  • Be a self-starter, delivering what’s asked for before it’s asked
  • Highly adaptable and able to deal with ambiguity
  • Comfortable working under pressure, time-sensitive, and rapidly evolving situations
  • Knowledge of office procedures
  • Solid experience with office management systems, ERPs, and Google Suite
  • Familiarity with online calendars and cloud systems
  • Strong communication skills (via phone, email, and in-person)
  • Experience exercising discretion and confidentiality with sensitive company information
  • Excellent organizational skills with an ability to think proactively and prioritize work
  • Educated to Degree level preferred

What the job involves

  • We are looking for an Executive Assistant, based in New York, to support our VP, Head of Sales USC and the wider Sales team
  • The role will be varied and fast-paced, involving a number of administrative and clerical requirements
  • As the key connection between the Senior Management, their teams and the rest of the business, high attention to detail and the ability to effectively prioritize business requirements are integral to the success of this role
  • You will have an intuitive ability to identify and address the needs of senior managers and provide support in order to ensure that the company’s workflow runs smoothly
  • An ability to adapt to a number of office management technologies and handle high-volume, high-impact scheduling is essential
  • Coordinate the daily calendar of Head of Sales USC
  • Plan appointments and events
  • Create agendas for weekly Sales team all hands meetings and Sales Leadership meetings
  • Make travel arrangements
  • Respond promptly to managers’ queries
  • Prioritize when all issues are “urgent”, assessing what matters and has the biggest impact on the business
  • Process expense reports and invoices
  • Assist with editing and drafting internal communications
  • All Hands and meeting deck creation and preparation
  • Act as the point of contact between executives and employees/clients
  • Supporting with organizing offsites, team social events, and group activities for the local Sales team where needed
  • Suggest more efficient ways to run the office and troubleshoot any malfunctions
  • Exhibit exceptional critical thinking skills, being able to solve problems with practical judgment
  • Navigate a global, matrix-organization whilst maintaining positive, authentic relationships
  • Be a self-starter, delivering what’s asked for before it’s asked

Our take

WeWork is a commercial real estate company that pioneered the shared workspace market, providing spaces for anyone from freelancers to Fortune 500s. Traditional leases typically require businesses to commit to an office for 5-10 years, whilst WeWork allows its members to scale up from a single hot desk to a private office or custom-built suite, depending on their needs.

WeWork has hundreds of locations across the globe, with hundreds of thousands of members. While its initial rapid growth and dominance in key global hubs was impressive, it has since had to scale back and strategically re-align itself in an unstable economic climate.

There is certainly still potential for WeWork to see renewed growth and success, especially as remote and hybrid working continues to be popular. That said, observers will have to wait to see the eventual affect of its restructuring - and only time will tell what the company's future looks like.
