What the job involves

  • You’ll be working within the Office of the CEO, joining a close-knit team of highly committed, passionate and collaborative people
  • You’ll be managed by the Executive Assistant to the CEO, and work closely with the wider Operations team. Within this role there is the opportunity to learn and grow and the opportunity to work towards becoming a world class Assistant
  • Diary management for the CEO is the focus for this role. It requires the management of a complex and ever-changing calendar of critical meetings, including conference calls, interviews and appointments in line with the CEO’s and the organisation’s priorities. Also taking into account numerous time zones, across different office locations, and on behalf of multiple stakeholders. It’s key that the calendar is 100% accurate at all times, that conflicts are managed, and that it optimises time to the maximum
  • Ensure that the days logistics are thoughtfully and meticulously planned e.g capacity to prepare and context-switch between meetings, travel time, confirm meeting roles, agendas and briefing documentation are in place for each meeting and follow up for notes once the meeting has taken place
  • Arrange and book frequent domestic and international travel for conferences, international office visits and speaking engagements - e.g. hotel reservations, flight check-in, visas, detailed travel itineraries and ground transportation for the CEO in line with the company policies
  • Support with the preparation of event briefing documents and help with the logistics for both internal and external speaking engagements for the CEO
  • Liaise with the Events Team and arrange internal business and team bonding events e.g. focus days, lunches, retreats, talks, seminars, dinners, visitors, team training
  • Develop a strong working relationship with the Executive Assistant to the CEO, thinking ahead and managing the team’s priorities and risks, anticipating challenges before they arise and proposing solutions to enable effective decision-making throughout the day
  • Capture, track, and communicate any follow-up or actions for the Office of the CEO
  • Act as a trusted point of contact for the CEO and an ambassador for DeepMind internally and externally, review incoming correspondence and respond as required e.g. telephone, email, post
  • Support the Office of the CEO with administrative and operational tasks, always looking to do things better and quicker by suggesting ideas for continuous improvement to grow efficiencies by enhancing tools that they use
  • Liaise with the Workplace Team to ensure that the CEO’s meeting space in each office building is up to date and meets all of the requirements
  • Maintain a database of contact details of key colleagues and professional contacts
  • Scan, copy, file and maintain an effective archiving system (online and offline)
  • Provide personal support, errand running and duty-of-care e.g. lunch, water/tea, post, travel etc
  • Welcome guests and ensure they have a great visitors experience - ensuring room set-up, providing an office tour and offering refreshments
  • Undertake financial and team administration e.g. submit expense claims; raise and approve purchase orders; approve invoices; online document signing; reimbursements; journal subscriptions; approve team holiday requests etc
  • Being accountable to the team for your tasks and responsibilities, ensuring constant communications with the team to keep them updated on your progress
  • Build and maintain effective working relationships with the Management Support Team, key stakeholders, and wider Operations and Research teams to help foster cross team collaboration
