Who you are

  • Bachelor’s Degree in a relevant field
  • Experience assisting multiple people at the Senior or Executive level (calendar management, meeting coordination, travel coordination, event planning, etc.)
  • Significant years of experience supporting multiple people (calendar management, meeting coordination, travel coordination, event planning, etc.)
  • Significant years of Project Management/Project Coordination Experience (goal & project tracking, reporting, space planning, budgeting, process improvement, etc.)
  • Experience with Microsoft Office Suite (Outlook, Excel, PowerPoint, and Word)

Desirable

  • An excellent communicator, who has terrific work ethic accompanied by an ever-positive, get-it-done attitude
  • Experience working a large, tech, start-up, and/or international corporate environment
  • Demonstrated ability to organize, multi-task, and problem solve issues while managing competing priorities and commitments to deadlines
  • Track record demonstrating ability to work effectively with minimal supervision
  • Ability to quickly learn organizational structure and the objectives of the team
  • High levels of integrity and discretion

What the job involves

  • Fully owning complex calendar and travel management of two executives, on a day-to-day basis
  • Support managing key internal and external organizational stakeholders, on a day-to-day basis
  • Owning the coordination of some internal team projects (organizing team meetings and employee engagement activities, managing Excel reports on behalf of the leaders etc.) Additional Responsibilities (30%):
  • Planning and coordinating team events (virtual and physical)
  • Filing expense reports and managing budgets on behalf of the leaders
  • Coordinating space planning and office space management of a team or a floor
  • Coordinating individual and group travel to domestic and/or international locations (when sanitary conditions will allow)
  • As an Executive Assistant to two communications directors, you will have the opportunity to work in a very dynamic community of public relations experts, and partner with talented Executive Assistants across the globe
  • The ideal candidate will be a fast learner with experience using sound judgment while working in a fast paced, goal-oriented, ever-changing work environment in an international setting
  • The candidate will have excellent prioritization and multitasking abilities to complete a high volume of complex tasks with minimal to no supervision
