What the job involves

  • As Executive Assistant to the VP, Product Support, you’ll be responsible for keeping the Product Support team organized and helping them focus on scaling for growth and fine tuning our product support offerings
  • In this role, you’ll be directly supporting the VP, Product Support to strategically manage day-to-day administrative and operational needs, while also providing light support to the Product Support leadership team, and cross-functionally with broader Marketing Org and stakeholders across Figma
  • This is a full time role that can be held from one of our US hubs or remotely in the United States
  • Provide direct support to VP, Product Support and light support to 4 Directors on the leadership team
  • Expected support of VP - The deepest level of support attending leadership meetings, tracking agendas, capturing action items and following up on progress, heavy calendar management, inbox management, organizing all hands, team-wide communications, booking travel, partnering with Strategic Program Manager in support of VP, etc
  • Expected support of 4 Directors - Calendar management, light logistical offsite support
  • Act as a delegate for the VP, signing off of expenses, PO approval, and various other tooling as needed with careful attention to internal policy
  • Be a strategic thought partner to the VP and their leadership team with a focus on Product Support operations, process, and long term planning
  • Identify areas to optimize VP’s time and make recommendations in regard to time management, prioritization, and business needs
  • Find opportunities for process optimization throughout team and company processes
  • Prepare and/or build content and slides for the VP within Figma and FigJam
  • Partner with the Strategic Program Manager to organize large scale planning for monthly and quarterly meetings, in-person leadership and full-team offsites, including working with external venues and internal partners
  • Partner with internal teams to ensure cross functional alignment on projects, company milestones, and internal events – this will include some ad hoc project management
