Who you are

  • 5+ years experience as an Executive Assistant providing support to a senior executives
  • Advanced PC skills (proficient using Google Suite, Microsoft Windows, Word, Excel, Outlook, PowerPoint and the Internet)
  • Excellent interpersonal and communication skills (written and verbal)
  • Analytical, strong problem solver and extremely organized
  • Capable of managing multiple projects, competing priorities, and tight deadlines simultaneously while maintaining high quality standards
  • Efficiently manage and prioritize executive's inbox, ensuring timely responses, categorizing emails based on urgency and importance, and flagging critical communications for immediate attention
  • Strong adaptability, flexibility and resourcefulness
  • A proactive approach to problem solving with strong decision making skills
  • Demonstrated ability to maintain a high level of professionalism and confidentiality
  • Able to coordinate some office admin tasks: postal/ shipping carrier tasks, mail management
  • Startup experience

What the job involves

  • We are looking for a proactive and organized Administrative Assistant to join our team. This role will directly report into the Chief of Staff
  • Manage the CEO's calendar, prioritizing inquiries and requests, adjusting conflicts, and making recommendations to ensure smooth daily operations
  • Provide comprehensive support to senior executives, exercising high decision quality while managing demanding schedules and proactively handling time-sensitive matters while utilizing resources available with the ability to pivot quickly based on business needs
  • Handle a wide range of administrative tasks to support the CEO's calendar, including preparing agendas and materials, partnering with other executives to coordinate and prioritize meetings, arranging travel, and maintaining contact lists
  • At times, work with the CEO's personal assistant to ensure personal appointments or travel are not conflicting with work schedule with discretion and responsibility
  • Demonstrate strong writing and communication skills, drafting correspondence on behalf of the CEO with minimal direction
  • Support with Company wide events, such as All Hands meetings, offsites, etc, partnering with the CEO and various members of the Leadership team
  • Work cross functionally with Marketing as it relates to event coordination and curating CEO’s VIP/ preferred clients
  • Office (in-person tasks): few visits per month to support office admin tasks

These updates made it more difficult for brands to track consumer behavior across the internet and to accurately advertise to the users most likely to buy their products.
